Administrative and Accounting Under general supervision, the Accounts Receivable & Billing Specialist supports accounts receivable/credit, cash application, sales and customers by performing all activities associated with accounts receivable and specialized billing for customer accounts and cash receipts to ensure cash application and special billing are complete and accurate. Essential Duties and Responsibilities Special billing – includes uploading invoices/PODs onto customer’s website or portal as well as batch billing and other special billing needs for our customers. Researches, orders, and notifies shop foreman/shift leader and technicians of availability of out-of-stock and non-stock parts. Repairs/rebuilds parts (i.e., tire chains, OD lights) Monitors inventory levels, updating part numbers in system, performing cycle counts, addressing aging inventory, and notifying parts purchaser of out-of-stock, overstock, and/or obsolete items. Cleans and organizes the parts department. Maintains records and files for easy, accurate tracking of maintenance and repairs, ensuring proper coding and monitoring all cost and quality factors (i.e., labor time, parts issue, delays, problems, warranty trends). Evaluate blade size, load requirements and driver qualifications to determine acceptable level of risk. Assign driver if risk level is acceptable and safety is affirmed. Act as a technical resource for all of ATS related to blade movements and securement requirements. Attend project planning meeting prior to the start of a project. Attend blade planning meeting to anticipate future blade needs. Serve as a go to for blade related questions. Analyze and approve quotes for all single blade loads and as needed for project related loads. Partner with Project Management team to determine turn assumptions and total equipment needed to deliver at the pace required by the customer. Partner with the Permit department and Project Manager on the overall loaded dimensions of blade loads. Partner with routing to establish a viable route that meets ATS approved risk level as defined by the risk guidelines set for clearance on signs, poles buildings, humps and any other obstacles. Coordinate all blade load assignments: Evaluate driver over-dimension (O.D.) load history, group in truck sets on all awarded projects. Assign set to Wind Fleet Manager, and provide all necessary information to ensure a successful and safe load. Pre-assign loads as needed to trucks on a project to ensure permits and police escorts are scheduled. Ensure trailer aligns with blade size and manufacturer specifications. Remove and replace blade drivers on a project as needed. Assist with any out of route incidents caused by driver error or emergency situations. Set the correct fuel sur charge (fsc) for blades. Partner with Sentinel Pilot Car to assign pilot cars. Partner with Safety department: Participate in coordinating field audits. Review near miss reports, analyze for patterns and follow up as needed. Discipline drivers as needed for a safety incident or violation. Follow-up on possible claims. Follow-up on all wind speed alerts. Evaluate and approve all securement used to properly tie down blades according to ATS set guidelines – provide feedback and recommendations when changes are needed. Partner with the Road Service team on all blade trailer maintenance: Schedule blade trailers for all preventative maintenance, repairs and modifications as needed. Maintain inventory awareness of all blade trailers at ATS maintenance facilities to ensure proper equipment levels to meet current and future customer demands. Prior to the start of a project, proactively ship common failure parts that may be needed to repair a trailer. Coordinate cross functional meetings for all 3 axle blade loads prior to the first load. Ensure effective communication throughout project to address any concerns. Maintain ATS blade guidelines and standard operating procedures, making updates as needed. Provide support to Fleet Managers.
