Credit and Collections Representative

Administrative Summary Under general supervision, the Credit and Collections Representative supports the credit and collections operations of the company by collecting past due receivables, investigating and resolving problems, granting credit within established guidelines and maintaining customer records in accordance with credit, collection, and company objectives to minimize unreasonable risk exposure.     Essential Duties and Responsibilities Maintains and updates customer records by keeping complete and accurate records of all customer information to ensure the information needed to make informed credit decisions is available. Sets up new accounts by entering them into the computer system and sends out welcome emails. Reviews accounts that have not shipped within the last six months to re-evaluate if or when the customer wants to do business again. Sets up accounts that fall under a corporate umbrella. Sets up billing requirements on customer master to ensure we are invoicing correctly. Contacts customers frequently by phone, email, statements or collection letters on overdue balances, short-paid invoices, rejected invoices, overpaid invoices, and other credit disputes to help keep the customer’s account in good standing. Documents all collection efforts into computer system. Follows up with customers to ensure promised payments are made.  Involve internal customers as necessary. Resolves collection issues by tactfully and aggressively finding facts and making decisions. Processes credit card transactions for past due, current invoice, or prepayment on loads. Determines if loads can be released by reviewing credit limit and past dues to minimize unreasonable risks. Reviews workflow Credit Q by logging into workflow system to answer questions on a particular load. Ensures COD/prepayment accounts have been paid prior to delivery of load.  If not, involve internal customer. Reviews customer billing requirements based on questions that arise in workflow. Monitors and reviews third party payment companies websites and updates computer system based on information gathered from websites. Performs other duties and responsibilities as assigned. Education and Experience Must have an understanding of credit and collection procedures usually gained through 1-2 years of training and/or experience in a related field. Administrative and Accounting Working from the ATSI office in San Juan, Puerto Rico, the Documentation Coordinator is responsible for providing administrative and operational support to the International division by coordinating and preparing shipping documentation for import and export orders.  Ensures all required documents are prepared or obtained as required, and reviewed for completeness and accuracy prior to a shipment. Properly disseminates paperwork to the appropriate authorities to ensure minimal to no delays in shipments and then creates and sends the customer invoices as appropriate.     Education and Experience High School Diploma with two or more years of relevant experience.  A college degree and two or more years of transportation and/or warehouse experience is ideal. Experience generating bills of lading in a transportation or warehouse environment is preferred. Strong administrative, data entry and computer experience (Word, Excel and Outlook, etc.).  Prior experience with LME operating system preferred  Excellent communication skills (written, listening and verbal). Working Knowledge of DOT regulations and Out of Service parameters for tractors, trailers and accessorial equipment. Brake and 609 air conditioning certifications required. A valid driver’s license, Commercial Driver’s License (CDL) is preferred but not required. Must be able to operate all related shop equipment. Must be DOT certified and forklift certified.
